Privacy Policy

koto (hereinafter referred to as the “Provider”) sets forth this Privacy Policy (hereinafter referred to as the “Policy”) regarding the handling of information, including personal information of users, in the web application “Koto” (hereinafter referred to as the “Service”).

Article 1 (Definition of Personal Information)

In this Policy, “Personal Information” refers to “Personal Information” as defined in the Personal Information Protection Act of Japan, and means information relating to a living individual that can identify a specific individual by name, date of birth, address, telephone number, contact details, or other descriptions contained therein, as well as data relating to appearance, fingerprints, voiceprints, and insurance numbers on health insurance cards that can identify a specific individual from that single piece of information.

Article 2 (Collected Information and Collection Methods)

The Provider acquires the following information (including personal information) directly from users or automatically in providing the Service:

Article 3 (Purposes of Collection and Use of Personal Information)

The purposes for which the Provider collects and uses personal information are as follows:

  1. To provide and operate the Service (including user account management and data storage).
  2. To improve Service features, develop new services, and conduct marketing activities.
  3. To respond to user inquiries (including performing identity verification).
  4. To notify users of important notices, maintenance information, terms modifications, etc. regarding the Service.
  5. To bill usage fees for paid services.
  6. To identify users who violate the Terms of Service or attempt to use the service for unauthorized or improper purposes, and to refuse their use.
  7. To inform users of other services provided by the Provider or conduct survey questionnaires.

Article 4 (Changes to Purposes of Use)

  1. The Provider shall change the purpose of use of personal information only when it is reasonably recognized that the purpose of use after change is relevant to that before change.
  2. When changing the purpose of use, the Provider shall notify users of the changed purpose by the method prescribed by the Provider or announce it on this website.

Article 5 (Provision of Personal Information to Third Parties)

The Provider shall not provide personal information to third parties without obtaining prior user consent, except in the following cases or where permitted by the Personal Information Protection Act or other laws:

  1. When required by law.
  2. When necessary to protect human life, body, or property and it is difficult to obtain the consent of the individual.
  3. When particularly necessary for improving public health or promoting the sound growth of children and it is difficult to obtain the consent of the individual.
  4. When necessary to cooperate with national agencies, local governments, or their delegates in executing affairs prescribed by law, and obtaining consent risks interfering with execution.
  5. When the required statutory items have been notified or announced in advance and submitted to the Personal Information Protection Commission.

Payment processing for content is delegated to Stripe Inc. Email addresses and credit card information related to billing for paid services are governed by Stripe Inc.’s Privacy Policy.

Article 6 (Security Management of Personal Information)

The Provider conducts necessary and appropriate supervision over personnel to prevent leakage, loss, or damage of personal information and ensure security management. When delegating handling of personal information in whole or in part to third parties, the Provider performs necessary and appropriate supervision to ensure security management.

Article 7 (Disclosure, Correction, and Suspension of Use of Personal Information)

  1. When requested by an individual to disclose their personal information, the Provider shall disclose it to the individual without delay. However, if disclosure falls under any of the following items, part or all of it may not be disclosed:

    • (1) Risk of harming life, body, property, or other rights/interests of the individual or third parties
    • (2) Risk of causing significant hindrance to proper execution of the Provider’s business
    • (3) Cases that violate other laws/regulations
  2. When requested by an individual for correction, addition, or deletion (“Corrections”) of personal information, the Provider shall conduct an investigation and perform Corrections based on results.

  3. When requested by an individual for suspension of use or erasure (“Suspension of Use”), the Provider shall conduct an investigation and perform Suspension of Use based on results.

A fee of 1,000 JPY (excluding tax) per request will be charged for disclosure of personal information. Details on payment will be provided upon receipt of request.

Article 8 (Use of Cookies and Analytics)

The Provider may use Cookies and similar technologies for analyzing Service usage, delivering advertisements, and improving services. Users can refuse Cookies via browser settings, though some Service features may become unavailable.

Article 9 (Changes to Privacy Policy)

  1. Contents of this Policy may be modified without notice to users, except for matters otherwise provided by laws or this Policy.
  2. Unless specified otherwise by the Provider, the modified Privacy Policy shall take effect from the time it is published on this website.
